Administrative Assistant

Facebook is seeking an experienced Executive Assistant to support an executive and members of our Building 8 team in Asia.  This is a unique opportunity to be part of a new exciting group at Facebook that is building hardware products to advance our mission of connecting the world. This person will work cross-functionally with high-level partners across engineering and other departments. The ideal candidate will have exceptional communication skills in English, Mandarin and Cantonese and will have the ability to manage wide-scale meetings, content, and events. This person should be highly organized, energetic, detail-oriented, a problem-solver and exhibit sound judgment. This person must also have a deep understanding of the Facebook community as well as a passion for Facebook’s products. This position is full-time and located in Hong Kong.

Responsibilities:

Perform administrative tasks including: Complex calendar management for a high volume of internal and external meetings, manage travel arrangements, and complete expense reports
Build cross-functional relationships with key partners in other Facebook departments
Assist in the preparation of correspondence, briefs, presentations, and packets for internal and external meetings
Project manage all logistics for team meetings, off-sites and events
Set up Supplier meetings and organize logistics
Have correspondence with suppliers in Asia to schedule meetings and logistics for visits
Prepare recurring reports and presentations with respect to materials shortage, inventory and supplier performance
Prepare meeting reports and summaries for internal and external meetings
Support the Asia team with travel and meeting arrangements
Support US FB visitors with hotel, logistics and meeting set up in Asia

Requirements:

5 to 8 years of administrative experience including support of a VP or C-level executive
5 to 8 years of experience coordinating travel logistics on behalf of 1 or more executives
5 to 8 years of calendar management and expense report management for 1 or more executives
Minimum BA/BS degree
Proficient in Microsoft Outlook’s calendar function (on behalf of an executive)
Proficient in MS Office package, specifically Power Point and Excel
Experience with Materials and Planning reports
Good communication level in English, Cantonese and Mandarin
Passionate about Facebook with a strong understanding of its products
Able to think, plan, and execute quickly and resourcefully, both autonomously and as part of a broader team
Able to efficiently manage and prioritize multiple projects simultaneously
Able to operate with a high level of confidentialityComfortable with giving and receiving feedback

Education

BA/ BS or equivalent experience
